INSPIRE POLICIES & PROCEDURES
The Inspire gym is available to rent for birthday parties. A $50 deposit is required to hold the reservation. If party needs to cancel, they must do so within 5 days or the $50 will not be refunded. Cost is $25 per hour. Waiver forms must be filled out and signed by each parent prior to the party. Party is responsible for set up and clean up. As long as the gym is cleaned and everything returned back to its proper place, the $50 deposit will be returned.
Terms & Conditions:
*Cost is $25 per hour to use the facility. There is also a $50 deposit fee in order to hold the date and time requested for the party. Your reservation will not be placed into our system until all forms have been submitted and fees paid. Refunds are only given to those canceling 5 business days proper to the party, no exceptions.
*All participants must have an event waiver signed by the parents before participating at the party.
*Building users will be responsible for: Setting up the tables and chairs (arrangement of rooms), taking down tables and chairs, thorough clean-up & sweeping trash.
*Clean-up of facility will be required immediately following its use. Set up and clean up must be accomplished within the times listed on the reservation form.
*Any decorating, coverings, or changes to the facilities should be discussed and put in writing on the room reservation request. The use of adhesive tape, nails, screws, etc. on tables, walls, floors, ceilings or equipment is not permitted. Placement, relocation, or rearrangement of equipment is not permitted without prior approval.
*The applicant shall be responsible for any damage to equipment or property. If, after an activity additional janitorial maintenance is required (other than what would be considered normal), applicant will be charged accordingly. INSPIRE reserves the right to charge a cleaning deposit in addition to the facility fees. If everything is cleaned and put back the way that it was found, the $50 deposit fee will be returned.
*Applicants are to use only the facilities or equipment specifically designated on the room reservation request.
*INSPIRE reserves the right to have staff enter all facilities at any time during any and all occupancies and to terminate a room reservation at any time due to an unruly crowd or destruction of property.
*Reservations must be paid at the time the request is made. No event will be placed on the calendar without payment. Long term or continuous events may be set up on weekly or monthly payments with approval of Management.
*No alcoholic beverages are allowed at INSPIRE.
Children under the age of 13 are not allowed in the fitness area unless participating in a class. When not participating, children should be in the childcare areas. The teenage lounge is for children between the ages of 12-17 years. Children under the age of 12 will need to check into the Play Center.
DRESS CODE – MEMBERS/GUESTS
All members are expected to wear proper workout attire and athletic shoes. Members are not allowed to wear sandals while exercising. All members/guests (men and women) must be wearing a tank top or t-shirt at all times (no sports bras only). Individuals wearing offensive slogans/pictures on shirts and shorts, revealing or excessively suggestive attire will not be permitted to exercise in the facility. Jeans are not permitted.
Dues are subject to adjustment as determined by management. A period of one month’s notice will be given to members of any upcoming adjustments.
Family gym is available on Saturdays from 11am-4pm. Every individual that comes to Family Gym must fill out a waiver of liability, even if they are a non-member. Parents must fill out/sign a waiver for any child under the age of 18. A KVC manager must fill out a waiver form for each KVC child that comes to Inspire for family gym.
GROUP EXERCISE STUDIO
1. When a class is in session, the studios are reserved for class participants only.
2. When a class is not in session, any member 13 years of age or older may use the room to stretch, jump rope, exercise, etc.
3. The sound system is for class use only.
INSPIRE allows members to bring guests on a limited basis. The benefit is intended to introduce the facility to family and friends. All guests must check in at the front desk, sign a waiver of liability and PAR-Q form. If medical clearance is needed, the guest member must wait until we receive clearance from their physician before using the facility. 1st time guest is FREE! After that, guest fees are $10 per use or they may purchase a 10-use punch card for $60.
A member MUST be 18 years or older to bring a guest.
A non-member can be the guest of an active member one time per calendar year. After the one visit, the guest must purchase a guest pass, join, or discontinue use of the facility.
All guests must show picture identification and sign the waiver of release & PARQ forms.
Parent/Guardians must sign in guests under the age of 18 on their first visit to the facility. This signed consent form will serve for all visits.
After coming as a guest of a member one time, the guest can pay a fee of $10.00 per visit or purchase a 10-vist punch card for $60.
1. Use of the cardiovascular equipment is available to all members 13 years old and older.
2. Horseplay or loitering will not be allowed in the fitness area.
3. Members are encouraged to limit use of any one piece of cardiovascular equipment to 30 minutes when the facility is crowded and others are waiting to use the equipment.
4. Cardio Theatre hook-ups on the CV equipment will allow you to listen to the televisions provided on the fitness floor. Personal headphones can be plugged into the boxes.
Strength Training/Free Weights
1. Use of the strength equipment is limited to those members 13 years of age and older. We highly recommend that members 13-17 years of age should remain supervised while using free weights.
2. Limit one piece of strength training equipment to 10 minutes or allow others to work between sets.
3. Return all weights to rack after use.
4. Dropping weights is not permitted.
5. Please see a fitness instructor for spotting or other assistance with the strength training equipment.
6. Do not move or re-arrange fitness equipment/weights.
1. The track is available during business hours for walking and running. The inside lane is for walkers and the outside lane is for runners.
2. Direction will be clockwise on even calendar days, counter-clockwise on odd calendar days.
3. Children under the age of 13 may use the track when the child is registered with a special group, or when walking with a parent or legal guardian.
The men’s and women’s locker rooms are for members 13 and older. Children 12 and under must be accompanied by an adult. Children over the age of 4 are not allowed in opposite sex locker rooms.
LOST & FOUND/VALUABLES
INSPIRE will not be responsible for articles lost, stolen or damaged in, on or about the fitness center. You are advised to leave all valuables at home or locked in your car before entering the building. Lost and found items will be kept for two weeks and then donated to charity. All lost items must be identified in person. No confirmation of found items will be given over the phone.
All new members must complete a Waiver of Liability, Health & Lifestyle Questionnaire, PAR-Q Form, Medical Clearance (if necessary) & ACH Form. Medical Clearance should be sent to the member’s doctor if any questions on the PAR-Q form were answered with a YES. Members cannot use the facility until medical clearance is received from their current physician. Payment must be made for the first month (pro-rated for whatever day it is) and then it will be automatically deducted after that on the 5th of every month. All new members will be given a tour of the building and a time for Q&A.
Each member who is age 13 and older will receive a membership card. This card is required to enter the facility. You must scan your card at the Front Desk each time you enter the facility. All members will have a picture image on file to verify their identities. Members under the age of 13 must be accompanied by an adult and must be checked in at the Front Desk by giving their name. A fee of $3.00 will be charged to replace lost membership cards.
MEMBER CANCELLATION OR CHANGES
Changing Membership Types
Any changes in your EFT account must be made before the 25th of the month for changes to be effective for the next month. All changes must be made at the Front Desk or Business Office and the member’s signature is required. No changes will be made over the phone.
To cancel a membership, a signed written notice must be received at the Front Desk or Business Office by the 25th of the month. The membership will be cancelled the 1st of the following month. Cancellations require member’s signature. No cancellation will be made over the phone. Management reserves the right to terminate a membership immediately in person or by
giving 30 days written notice to the member using certified mail. If notice is by certified mail, it shall be addressed to member’s home address shown on the membership application.
Inactive Membership Status
Upon submission of verification of relocation or illness, any member in good standing may convert to inactive status for a period of at least 30 days, but no more than 90 days. In case of a medical emergency, where inactive status is required to be longer than 90 days, a physician’s statement is required. Inactive membership fees are $15.00 per month. Upon reactivation of the membership, normal monthly billing will proceed at the applicable rate.
MEMBERSHIP CLASSIFICATIONS DEFINED
- Single memberships are for individuals 18 years of age or older.
- Couple memberships are for two adults, who live at the same physical address.
- Add-ons include children ages 13-21. When an add-on reaches the ages of 21, he/she will be required to set up their own membership.
- Corporate memberships are available to businesses, if a minimum of five employees join the facility. For more information, please see the front desk staff.
MEMBER’S HEALTH WARRANTY
Member warrants and represents that he/she has no physical or mental disability, impairment or ailment preventing him/her from engaging in active or passive exercise that will be detrimental to his/her health, safety or physical condition if he/she does so engage or participate. This representative is made by member knowing that management will rely upon the same respect to issuance of this membership. Member acknowledges and agrees that it is his/her responsibility to consult with his/her personal physician prior to and during the course of this membership.
Age Requirement & Use of Services
The Play Center is for children 6 weeks to 11 years of age and is included for children who are non-members. Payment is required at the time of service. The Play Center is a drop-in area which means there are no reservations. The number of children in attendance varies by the hour. INSPIRE reserves the right to limit the number of children admitted to the Play Center based upon our ability to safely and effectively accommodate all in attendance. The decision to limit attendance is at the sole discretion of management. The Play Center will close early if no children are present 15 minutes before closing time. Please observe all signs posted regarding upcoming closings, center updates, holiday hours and/or programming announcements. We will do our best to notify parents of any schedule changes in advance.

Memberships for the Play Center is in addition to your monthly fitness center membership. Discounts are available for two or more children. Members who choose not to purchase a kids membership for the Play Center will be charged a flat fee for each visit.

Management reserves the right to refuse entry or remove a child from the play center should the child’s behavior be considered disruptive to the other Play Center attendees.
Every parent or legal guardian must sign a waiver for each child prior to admission.
Payment is required at the time of service.
A parent/guardian must sign their child into childcare by completing the appropriate area on the sign-in sheet at the childcare desk. When the parent returns, the signature will need to match the original signature to allow the child to leave.
If a parent drops off their child and wants someone else to pick them up, written permission will be needed on the sign-in sheet or emergency contact. In addition, a picture I.D. is required to verify the identity of the individual picking up the child.
You may leave your children in childcare for a maximum of 2 hours during any one visit to the facility.
Parents are expected to be in the facility while their children are in childcare. If you leave for outside work, please notify the childcare staff.
All children are required to wear SOCKS at all times. No shoes or bare feet! It helps us keep our Play Center CLEAN for your crawlers and toddlers!
No outside food unless approved by Play Center staff. This helps us protect the kiddos who have food allergies.
All drinks need to be in spill proof cups or bottles.
We request that parents bring any necessary personal items such as bottles, diapers and extra clothes. We would prefer that you not bring personal toys or snacks. These items are provided by the fitness center.
Please keep sick children at home. We are very concerned about spreading infectious germs. In order to maintain a safe, healthy environment for all of the children, we have developed some “illness” guidelines. If your child has had any of the following symptoms in the past 24 hours, please keep your child at home. *These guidelines will be strongly enforced at all times.
Runny nose and/or severe coughing
Diarrhea or has been vomiting
Play Center Rules:
No running, rough-housing or bullying.
Use inside voices and kind words.
Treat others the way you want to be treated.
Profane language is not permitted.
Pick up toys after use.
No toys in the play structure.
No gum or food while playing.
All Inspire programs require a waiver of liability and payment before participation. See specific instructions for each program. All programs are subject to cancellation depending on the number of attendees. Programs and events are non-refundable.
Scholarships will be given on a first come, first serve basis. Scholarship participants must apply and qualify. Participants will be reviewed on a 6-month basis. All scholarship participants must agree to the scholarship requirements and meet them on a monthly basis or the scholarship may be terminated. Scholarship termination is subject to the Inspire staff at any given time. Only 10 scholarships will be awarded on a monthly basis. We will have a waiting list that will be reviewed periodically.
INSPIRE is a designated tobacco-free environment.
Announced special events will have precedence for facility usage. Please refer to our newsletter and program schedules for a listing of special events and the areas of the facility they will occupy. Management reserves the right to close the facility for not more than one week per year for necessary repair and maintenance.
Towels are an amenity that we are happy to provide for our members but appreciate a conservative use of them. Please limit your use of towels to one to two per visit or bring your own towels from home. Once you are finished with your towels, please return them by dropping them into the towel bins.
WAIVER OF LIABILITY
Any member using the facilities and equipment does so at his/her own risk. Management shall not be liable for any damages arising from personal injury or damages sustained by member in, on or about the premises of the center. Member assumes full responsibility for any injuries or damages and does hereby and forever release and discharge the INSPIRE center, owners, employees and agents from any and all claims, demands, rights or cause of action, present, or future, whether the same be known or unknown, anticipated or unanticipated, resulting from or arising out of the member’s use or intended use of the facilities and equipment hereof.
The preceding policies and procedures are not all-inclusive. Other rules and regulations may be posted in and about the facility and shall be binding for all members.
Management reserves the right to change and amend these policies and procedures as deemed necessary for the safety and functional operation of the facility.
